These free timesheet templates give you 8 Word documents on A4 and US Letter: a weekly timesheet, a weekly timesheet with lunch breaks and overtime, a two-week timesheet and a monthly timesheet with a row for every day. I’m Patrick Elliott, a teacher and Inclusion Lead. As a school leader I sign off hours for supply staff, teaching assistants and club leaders, so I made timesheets that are quick to fill in and easy for a manager to check.

In this guide, you’ll find which timesheet suits your job, how to fill one in on screen, and how to work out your total hours without mistakes.

Timesheet template for Word: weekly timesheet with start, break and finish times on A4

👉 Every timesheet is a normal Word table with click-and-type boxes: click beside a label such as Employee name and type, and the date lines open a small calendar.

👉 The A4 versions start the week on Monday and the US Letter versions start on Sunday, to match the way each country usually counts a working week.

Which Timesheet Should You Use?

  • Weekly timesheet: start time, break and finish time for each day, with a total for the week. Good for part-time and hourly staff.
  • Weekly timesheet with overtime: time in, lunch out, lunch in and time out, with separate columns for regular hours and overtime.
  • Fortnightly or bi-weekly timesheet: two weeks on one page, for jobs that are paid every two weeks.
  • Monthly timesheet: one row for every date from 1 to 31, with a notes column for sick days, holidays or the job you worked on.

How to Fill In a Timesheet in Word

  1. Open the timesheet and click the line next to Employee name.
  2. Type your details, pressing Tab to move on. Click a date line and pick the day from the calendar.
  3. Click the first empty cell in the table and type your start time, then press Tab to move across the row.
  4. Fill in the total for each day, then add the totals together on the navy Total hours row.
  5. Save a copy for each week with File > Save As, then print it to sign, or send it as a PDF.

How to Work Out Total Hours

Take your start time away from your finish time, then take off any unpaid break. For example, 8:30 to 17:00 is 8 hours 30 minutes, and with a 30 minute lunch break that leaves 8 hours to claim.

If your payroll asks for decimal hours, turn the minutes into part of an hour: 15 minutes is 0.25, 30 minutes is 0.5 and 45 minutes is 0.75. So 7 hours 45 minutes is written as 7.75.

How to Print at the Right Size

Print a fresh timesheet at the start of each week or month and keep it somewhere you will see it, so you write your hours down on the day instead of guessing at the end.

FAQs

How do I work out my total hours?

Take the start time from the finish time, then take off your unpaid break. 8:30 to 17:00 with a 30 minute break is 8 hours.

Should I write times in 12 or 24 hour clock?

Either works, as long as you are consistent. The 24 hour clock avoids mixing up morning and afternoon.

How do I show minutes as part of an hour?

Divide the minutes by 60: 15 minutes is 0.25, 30 minutes is 0.5 and 45 minutes is 0.75 of an hour.

What is the difference between a timesheet and a timecard?

They do the same job. A timecard is often punched by a clock, while a timesheet is filled in by hand or on screen.

Which timesheet records overtime?

The weekly timesheet with overtime has separate Regular and Overtime columns, and the fortnightly version has an Overtime column too.

Can I add more columns, such as a project or job number?

Yes. Click in a column, go to Table Layout and choose Insert Left or Insert Right.

Can I remove the Word Made Easy footer?

Yes. Double-click the bottom of the page, click the logo and the web address, and press Delete.

Conclusion

These timesheet templates cover weekly, overtime, two-week and monthly hours, human-made by a teacher and ready to fill in from Word.

Choose your paper size above, download the ZIP, and if you bill clients for your hours try the invoice templates.
