👉 Every invoice is a normal Word table, so you can add rows, rename columns or change colours without breaking the layout.
👉 Your business details, client details, invoice number and dates are click-and-type boxes: click “Your Business Name” once and type, and Word replaces the sample text. Each date opens a small calendar, so you can pick the day.
UK, US or Australian Invoice Template?
- UK (A4): prices in pounds, a VAT line at 20% and a space for your VAT number.
- USA (US Letter): prices in dollars and a sales tax line where you enter your local rate.
- Australia (A4): titled Tax Invoice, with GST at 10% and a space for your ABN.
- No Tax version: for sole traders and freelancers who are not registered for VAT or GST, or who do not charge sales tax.
How to Fill In an Invoice Template in Word
- Click “Your Business Name” once and type your own. Every sample line is a click-and-type box, so your words replace it. Do the same for the address lines.
- Add your logo with Insert > Pictures, then drag it beside your business name.
- Click the invoice number and type your own, click each date to pick the day from the calendar, and add your client under Bill To.
- List each job or product on its own line, then fill in the subtotal, tax and total.
- Save a copy with File > Save As > PDF and email the PDF to your client.
What to Include on an Invoice
A clear invoice shows your business name and contact details, your client’s details, a unique invoice number, the invoice date and due date, a description of each item, the amounts, any tax, the total and how to pay. Each invoice template already has a place for all of these.
How to Print or Send Your Invoice
To print, press Ctrl + P and choose the paper size in the file name, A4 or US Letter, at 100%. Every page keeps a 1/2 inch (12.7 mm) margin, so nothing is cut off on home or office printers. To send it electronically, save it as a PDF so your client sees exactly what you see.

Which invoice should a freelancer use?
The service invoice, because it has columns for hours and an hourly rate.
How do I number my invoices?
Start at 0001 and go up by one for each invoice, so every invoice has its own number.
Can I add my logo to the invoice?
Yes. Click at the top of the invoice, go to Insert > Pictures, choose your logo, then resize and drag it into place.
How do the click-and-type boxes work?
Click a sample line such as Your Business Name once and start typing. Word replaces the sample text with yours. Click a date, then the arrow beside it, to pick the day from a calendar.
Do I need to charge VAT or GST?
Only if your business is registered for it. If you are not, use the No Tax version, and check with HMRC or the ATO if you are unsure.
What is a tax invoice in Australia?
A tax invoice is the invoice a GST-registered business issues. It shows the words Tax Invoice, your ABN and the GST included.
Can I remove the Word Made Easy footer?
Yes. Double-click the bottom of the page, click the logo and the web address, and press Delete.
Can I email the invoice?
Yes. Save it as a PDF and attach it to an email, so your client sees it exactly as you made it.
