What Is a Purchase Order?

A purchase order, or PO, is the document a buyer sends to a supplier to order goods or services at an agreed price. It lists what you are buying, the quantities and prices, where to deliver and the payment terms. When the supplier accepts it, the PO number links the order to the delivery note and the invoice.

Which Purchase Order Template Should You Use?

• Simple purchase order: item number, description, quantity and unit price, for products and supplies.
• Service purchase order: hours and hourly rate, for contractors, cleaning, repairs and consultants.
• Printable purchase order form: fewer, taller rows, so it is easy to write on by hand.
• UK (A4): pounds, a VAT line and a VAT number; also works for Australia if you change the tax line to GST.
• USA (US Letter): dollars, a sales tax line and shipping.
• India (A4): rupees, GSTIN, an HSN/SAC code column and CGST, SGST and IGST lines.

How to Fill In a Purchase Order

1. Click “Your Business Name” and type your details, then add your logo with Insert > Pictures.
2. Type the PO number and pick the dates, then add the supplier and delivery address.
3. List each item with the quantity and price, then fill in the subtotal, tax, delivery and total.
4. Sign it, save it as a PDF and send it to the supplier.

Number your purchase orders in order (0001, 0002 …) and ask suppliers to quote the PO number on their invoice, so every bill matches an order. Check local tax rules: these templates label the tax lines but are not tax advice.
