These free inventory sheet templates give you 16 Word documents on US Letter and A4: an inventory sheet, an inventory list with reorder levels, a stock count sheet and a home inventory, each in color and in black and white. I’m Patrick Elliott, a teacher and Inclusion Lead. I count and reorder classroom resources every term, so I built these with numbered item columns, reorder levels and a difference column for count day.
In this guide, you’ll find which inventory sheet suits a business, a stockroom or your home, and how to run a quick, accurate count.

What Is an Inventory Sheet?
An inventory sheet lists the items you have, how many of each, and what they are worth. Businesses use one to count stock, spot what is running low and work out the value of what is on the shelves. At home, a home inventory records your belongings and their value, which helps with an insurance claim.
Which Inventory Sheet Should You Use?
- Inventory sheet: item number, description, unit, quantity, unit cost and total value, with a grand total.
- Inventory list with reorder levels: stock on hand, the reorder level, how many to reorder and the supplier.
- Stock count sheet: the expected and counted quantity for each shelf or bin, the difference and the counter’s initials.
- Home inventory: each item with its make and model, serial number, date bought, value and a photo check box.
- Black and white versions: every template also comes in a printer-friendly black and white version with grey headings, to save ink.
How to Use an Inventory Sheet
- Type your item numbers and descriptions in the order they sit on the shelves, then save the file.
- Print a copy and count one area at a time.
- Write the count, then work out the value or the difference.
- Reorder anything at or below its reorder level, and keep each sheet as a record.
For a stock count, have one person count and another check, and initial each line as you go. For a home inventory, take a photo of each room and of serial numbers, and keep a copy away from home.
Black and White Versions
Every template on this page also comes in a black and white version with the same layout: grey headings and an outlined title, so it prints clearly on any printer and saves ink. In the download box, choose Colour, Black and white or All, then your paper size: A4, US Letter or both.
How to Print at the Right Size
Print at 100% on US Letter or A4, one sheet for each shelf or room. Use the black and white version for big counts.
