What Is an Employment Verification Letter?
An employment verification letter confirms that someone works, or worked, for an employer. Landlords, banks and lenders often ask for one. It states the start date, job title and whether the job is full-time or part-time, and it includes pay only if the employee asks for it.
Which Letter Should You Use?
- Employment verification letter: confirms the employee’s start date, job title, department and status, with an optional salary line.
- Offer letter: the job, start date, manager, hours, pay, benefits and conditions, with a reply date and a line for the candidate to accept.
- Business letter: a block-format letter with a subject line and a short guide to what goes in each paragraph.
- Thank-you letter: a short, professional thank-you after an interview, a meeting or a favour.
- Black and white versions: every template also comes in a printer-friendly black and white version with grey headings, to save ink.
How to Write an Employment Verification Letter
- Click each box and type the company details, the date and the person or organization asking.
- Fill in the employee’s name, start date, job title and department.
- Delete the salary sentence unless the employee has asked you to include it.
- Sign the letter, then print it or save it as a PDF to send.
Stick to facts you can check, and leave out opinions about performance. Follow your company’s policy on what it will confirm, and keep a copy on file. These are letter templates, not legal advice.
Black and White Versions
Every template on this page also comes in a black and white version with the same layout: grey headings and an outlined title, so it prints clearly on any printer and saves ink. In the download box, choose Colour, Black and white or All, then your paper size: A4, US Letter or both.
How to Print at the Right Size
Print at 100% on US Letter or A4, on your own letterhead paper if you have it, or save as a PDF and send it by email.
