These free cash count sheet templates give you 16 Word documents on US Letter and A4: a cash count sheet, a cash drawer count sheet, a petty cash log and a bank reconciliation, each in colour and in black and white. I’m Patrick Elliott, a teacher and Inclusion Lead. I count cash for school events and fundraisers, so I built these with every note and coin listed in order and the over or short sum laid out step by step.
In this guide, you’ll find which sheet suits each cash job, how to count a drawer and work out over or short, and how to balance petty cash.

What Is a Cash Count Sheet?
A cash count sheet lists every bill and coin, from the largest to the smallest, with how many you counted and their total. Taking away the starting cash and comparing the result with the sales report shows whether the drawer is over or short, and the signatures show who counted and who checked.
Which Cash Sheet Should You Use?
- Cash count sheet: every note and coin with count and total, checks, starting cash, cash sales and over or short, with two signatures.
- Cash drawer count sheet: opening and closing counts side by side for one shift, with the cash taken and over or short.
- Petty cash log: date, receipt number, paid to, what for, money out and in, and a running balance from the float.
- Bank reconciliation: outstanding checks, deposits in transit, bank fees and interest, to match your books to the bank statement.
- Black and white versions: every template also comes in a printer-friendly black and white version with grey headings, to save ink.
How to Count a Cash Drawer
- Count each bill and coin and write how many in the Count column.
- Multiply each count by its value and add the totals.
- Add any checks, then take away the starting cash.
- Compare the result with the cash sales on the register report and write the difference as over or short.
Count twice, or ask a second person to count, before you sign. Keep the starting cash the same every day so differences stand out. The A4 versions list UK notes and coins, from £50 to 1p, and use the word cheques.
Black and White Versions
Every template on this page also comes in a black and white version with the same layout: grey headings and an outlined title, so it prints clearly on any printer and saves ink. In the download box, choose Colour, Black and white or All, then your paper size: A4, US Letter or both.
How to Print at the Right Size
Print at 100% on US Letter or A4 and keep a pad by the register. A4 files list UK notes and coins.
