I’m Patrick Elliott, a teacher and Inclusion Lead. I lead and sit in on school meetings every week, from staff briefings to governor meetings, so I built agendas with the items and wording those meetings really use.
In this guide, you’ll find which agenda suits your meeting, how to write a good agenda in Word, and the usual order of business for a formal meeting.

The Usual Order of Business for a Formal Meeting
In the UK, a formal meeting usually starts with welcome and apologies for absence, then declarations of interest, the minutes of the last meeting and matters arising. Reports and items for decision follow, and it ends with any other business and the date of the next meeting.
In the US, many boards follow the order in Robert’s Rules of Order: call to order, roll call, approval of the agenda and the minutes, reports, unfinished business, new business, announcements and adjournment. The board meeting agendas already list these items in order.
After the meeting, record what was decided with the matching meeting minutes templates.
How to Print at the Right Size
Print one agenda for each person at 100% on plain paper, or send the Word file before the meeting so people can add their own notes.
